  • Active Zoom Phone license with assigned phone number

  • Zoom desktop app, mobile app, desk phone, or web portal access

  • Voicemail PIN (for desk phone access)


Understanding Voicemail

If you have Zoom Phone activated on your account, you can play, delete, and save voicemail messages left by callers .

Key features:

  • Visual voicemail with automatic transcription

  • Access from desktop, mobile, web, or desk phone

  • Email notifications with audio attachments

  • Custom greetings for different scenarios

  • Voicemail syncs across all devices

When voicemail activates:

  • Calls go unanswered after your ring time

  • You're on another call (if set to forward to voicemail)

  • During closed or holiday hours (based on your settings)


Checking Voicemail

Desktop App

Open Voicemail Tab

  • Launch Zoom desktop app

  • Click Phone in the left sidebar

  • Click Voicemail tab at the top

View Messages

  • Unread messages appear with a badge

  • Messages show caller name/number, date, and duration

  • Transcription displays automatically below each message

Play Message

  • Click the play button on any message

  • Audio plays through your computer speakers

  • Pause, rewind, or fast-forward as needed

Desk Phone

Phone users can check their own voicemail by calling their phone number from a third-party phone service , or use these steps:

Access Voicemail Center

  • Dial *86 on your desk phone

  • Or press the dedicated voicemail button (if available)

Enter PIN

  • When prompted, dial your voicemail PIN followed by #

  • Your PIN is set in the web portal settings

  • Press 1 to play all messages (starting with new ones)

  • Follow audio prompts to manage messages

Managing Voicemail Messages

Taking Action on Messages

Call Back:

  • Click/tap the phone icon next to the message

  • Calls the number that left the voicemail

Delete Message:

  • Click/tap the trash icon

  • Message removed from your inbox

  • Cannot be recovered once deleted

Download/Save:

  • Desktop: Right-click message → Save/Download

  • Mobile: Tap ellipsis (•••) → Download

  • Saves audio file to your device

Share Message:

  • Click/tap share icon

  • Forward to another Zoom Phone user

  • Useful for delegating callback responsibilities

Mark as Read/Unread:

  • Toggle read status to organize your inbox

  • Helps track which messages need attention

Reading Transcriptions

  • Transcriptions appear automatically below each message

  • Usually available within seconds of receiving the voicemail

  • Review transcription before listening to save time

  • Accuracy varies based on audio quality and accents


Recording Your Voicemail Greeting

Using Desktop or Mobile App

Access Settings

  • Sign in to zoom.us web portal

  • Click PhoneSettings

  • Scroll to Business Hours or Closed Hours section

  • Click Edit next to Call Handling

  • Scroll to "When a call is not answered"

  • Find the greeting option

Record or Upload

  • Click Audio Library

  • Choose recording method:

    • Record: Use your microphone to record now

    • Upload: Select an audio file from your computer

    • Text-to-Speech: Type text and have it read aloud

Record Your Greeting

  • Click Start Recording

  • Speak clearly: "You've reached [Your Name]. I'm unavailable right now. Please leave a message and I'll return your call."

  • Click Stop Recording

  • Play back to review

Save

  • Name your greeting (e.g., "Standard Greeting" or "Out of Office")

  • Click Save

  • Select this greeting in your call handling settings

Note: The greeting will be added to your Zoom Phone audio library .


Greeting Best Practices

Keep it professional and concise:

  • State your name and organization

  • Explain you're unavailable

  • Request caller leave name, number, and reason for calling

  • Mention when they can expect a callback

Example script:

"Hello, you've reached [Name] at [Company]. I'm unable to take your call right now. Please leave your name, number, and a brief message, and I'll return your call within 24 hours. For urgent matters, press 0 to reach our main line. Thank you!"

Update for special circumstances:

  • Out of office/vacation

  • Holidays

  • Extended unavailability

  • Different closed-hours greeting


Configuring Voicemail Settings

Email Notifications

Once the Voicemail/videomail notification by email setting is enabled for the account or groups, users can receive email notifications when they receive a new voicemail .

What you receive:

  • Email alert when new voicemail arrives

  • Voicemail transcription in the email body

  • Audio file attachment (if enabled by admin)

  • Direct link to listen in Zoom app

Enable/Disable:

  • Controlled by your admin at account level

  • May include options to receive transcription and audio file

Setting Your PIN

Your PIN is used for desk phone voicemail access, hot desking, and screen lock.

Access Settings

  • Sign in to zoom.us web portal

  • Go to PhoneSettings

Update PIN

  • Scroll to PIN Code

  • Click Edit or Show

  • Enter a new PIN

  • Click Save

Note: Your admin may enforce length and complexity requirements for PINs.

Notification Preferences

Desktop/Mobile App:

  • Configure in Settings → Notifications

  • Enable/disable voicemail pop-ups

  • Set notification sounds

  • Choose badge displays

Email:

  • Managed by admin settings

  • May include transcription and audio attachment

  • Direct links to open voicemail in app

Listen to voicemail transcriptions first Review transcription before listening to save time. Only play audio if transcription is unclear.

Set up email notifications Never miss important voicemails by enabling email notifications. The direct link takes you straight to the message.

Can't access voicemail from desk phone? → Verify your PIN is set correctly in the web portal. Contact your admin if you don't know your PIN.

Transcription not appearing? → Transcription may take a few seconds to process. Refresh the app if it doesn't appear after a minute.

Not receiving voicemail notifications? → Check your email settings and notification preferences. Verify your admin has enabled email notifications.

Greeting not playing for callers? → Ensure you saved the greeting after recording and selected it in your call handling settings.

Voicemail going directly to email but not showing in app? → Check that you're signed into Zoom. Voicemails sync when the app is running and connected.

Can't record greeting on desk phone? → Ensure you're pressing 2 after entering your PIN. Some desk phone models may not support this feature.
