Understanding Presence Status

The Zoom desktop app, mobile app, and Zoom Web App allow you to set your current status to indicate your availability to others .

Your status appears next to your name throughout Zoom, helping colleagues know when to reach you.

Available status options:

  • Available - You're online and ready to take calls/chats

  • Busy - You're working but might not respond immediately

  • Away - You're signed in but inactive or stepped away

  • Do Not Disturb - You don't want to be interrupted

  • In a Meeting - You're in a Zoom meeting (set automatically)

  • On a Call - You're on a Zoom Phone call (set automatically)


Status Icons and What They Mean

Each status has a distinct icon that appears next to your name :

Setting Your Status

Desktop App

Access Status Menu

  • Click your profile picture in the top-right corner

  • Your current status appears below your name

Choose Your Status

  • Click on your current status to open the menu

  • Select from:

    • Available

    • Busy

    • Away

    • Do Not Disturb

  • Your new status displays immediately to all contacts

  • Icon updates next to your name across Zoom

How Status Affects Zoom Phone Calls

Available Status:

  • Phone rings normally on all devices

  • Call notifications appear as usual

  • No impact on incoming calls

Busy Status:

  • Calls still ring through normally

  • Indicates to colleagues you might not answer

  • Doesn't block calls—just signals you're occupied

Away Status:

  • Calls ring normally

  • Automatically sets after period of inactivity

  • Can also be set manually before stepping away

Do Not Disturb: When set to Do Not Disturb, you won't receive pop-up notifications for chat or Zoom Phone calls in the Zoom desktop or mobile app .

  • Calls won't generate pop-up notifications

  • Calls may still go to voicemail depending on your call handling settings

  • Best for deep focus time or outside work hours

In a Meeting / On a Call (Automatic):

  • Status updates automatically when you join meetings or calls

  • Signals to colleagues you're occupied

  • Calls may trigger "call waiting" based on your settings


Adding a Custom Status Message

You can add a text message that appears alongside your status.

Desktop

Click Profile Picture

  • Click your profile picture in the top-right

  • Click Set Status Message

Enter Your Message

  • Type your custom message (e.g., "In client meetings until 3pm" or "Working from home today")

  • Choose how long to display it:

    • 1 hour

    • 4 hours

    • Today

    • This week

    • Custom date/time

    • Never (until you clear it)

Save

  • Your status message displays immediately to all chat users who can view your profile

Mobile

Access Status Message

  • Tap More → Your profile

  • Tap Set Status Message (Android) or Status Message (iOS)

Create Message

  • Enter your status message

  • Set expiration time in Clear After menu

  • Tap Save in the top-right

  • Message displays to all contacts


Automatic Status Changes

Inactivity: You can choose to change your presence status to Away if your computer is inactive for a specified amount of time .

  • After 5 minutes of inactivity: Status may change to "Away"

  • When you return: Status changes back to "Available"

  • Configure in Settings > General

During Meetings:

  • Status automatically changes to "In a Meeting" when you join

  • Reverts to previous status when you leave

During Calls:

  • Status automatically shows "On a Call" during Zoom Phone calls

  • Returns to previous status when call ends


Scheduling Do Not Disturb

Set recurring Do Not Disturb hours for consistent focus time or after-hours.

Open Settings

  • Desktop: Click Settings (gear icon) > Notifications

  • Mobile: More > Settings > Notifications

Configure Do Not Disturb Schedule

  • Toggle on Schedule Do Not Disturb

  • Set start and end times

  • Choose days of the week

Save Schedule

  • Do Not Disturb activates automatically during scheduled times

  • Status returns to Available outside scheduled hours

Schedule Do Not Disturb for after-hours Automatically set DND from 6pm-8am on weekdays to maintain work-life balance without manually toggling status.

Add context with status messages "Back at 2pm" or "Email for urgent matters" helps colleagues know when and how to reach you.

Busy status auto-clears after 24 hours Unlike DND, Busy won't persist indefinitely if you forget to change it back.

Combine status with call forwarding Set to Away and forward calls to voicemail when you need complete focus time.


⚠️ Common Issues

Status not updating automatically? → Check your inactivity settings in Settings > General. Ensure the app isn't running in the background only.

Do Not Disturb not blocking calls? → DND blocks pop-up notifications but may not block all calls depending on call handling settings. Check your call forwarding rules.

Status keeps changing to Away unexpectedly? → Increase your inactivity timeout or disable automatic Away status in Settings > General.

Status message not displaying to others? → Ensure you clicked Save after creating the message. Status messages sync across devices within a few seconds.

Can't set Do Not Disturb schedule? → This feature may be disabled by your admin. Contact your IT team for access.
