✔️ Prerequisites

  • Zoom Phone license activated

  • iOS device (iPhone/iPad) running iOS 9 or higher OR Android device running Android 5.0 or higher

  • Stable internet connection (Wi-Fi or cellular data)

  • App Store (iOS) or Google Play Store (Android) access


Installing the Zoom Mobile App

The Zoom Phone functionality is built into the standard Zoom Workplace app.

For iOS (iPhone/iPad)

Open the App Store

  • Tap the App Store icon on your device

Search for Zoom

  • Tap Search at the bottom right

  • Type "Zoom" or "Zoom Workplace" in the search box

  • Select ZOOM Cloud Meetings or Zoom Workplace from results

Install the App

  • Tap Get or the download icon

  • Authenticate with Face ID, Touch ID, or your Apple ID password

  • Wait for installation to complete

Launch Zoom

  • Tap Open or find the Zoom icon on your home screen

  • The app is now ready for setup

  • Tap the Play Store icon on your device

Signing In and Initial Setup

Connect your Zoom Phone account to the mobile app.

Sign In to Zoom

  • Open the Zoom app

  • Tap Sign In

  • Enter your work email and password

  • OR sign in with SSO if your organization uses it

Verify Phone Access

  • After signing in, look for the Phone icon in the bottom navigation

  • If you don't see it, sign out and sign back in

  • If still missing, contact your admin to verify your Zoom Phone license

Enable Notifications (Critical)

  • When prompted, tap Allow for notifications

  • This ensures you receive incoming calls even when the app is closed

  • You can also enable notifications in your device Settings > Zoom

Configure Location Services

  • Enable location permissions for emergency calling (E911)

  • iOS: Settings > Zoom > Location > While Using the App

  • Android: Settings > Apps > Zoom > Permissions > Location > Allow

Important: Without notification permissions, you won't receive calls when the app is closed.


The Phone tab is your command center for all calling features.

Phone Tab Overview

Tap Phone in the bottom navigation to access:

  • Dial Pad: Make calls by entering numbers

  • Contacts: Access your directory (Starred, Internal, External)

  • History: View call logs and missed calls

  • Voicemail: Listen to messages and see transcriptions

  • SMS: Send and receive text messages

  • Lines: View shared lines (if applicable)

Making Calls from Mobile

Multiple methods for placing calls from your smartphone.

Using the Dial Pad

Open Phone Tab

  • Tap Phone in bottom navigation

  • Dial pad appears automatically

Enter the Number

  • Tap numbers on screen OR use your device's keyboard

  • Include area code for external calls

  • For international calls, add country code (+ then country code)

Select Caller ID (if needed)

  • Tap the dropdown at the top

  • Choose which of your assigned numbers displays to recipient

Place the Call

  • Tap the green phone icon

  • Call connects

Calling from Contacts

Access Contacts

  • In the Phone tab, tap Contacts or use the search bar

  • Browse Starred, Internal, or External contacts

Find Your Contact

  • Scroll or search by name

  • Tap the contact name

Initiate Call

  • Tap the phone icon next to their name

  • If multiple numbers exist, select which one to call

Calling from History

Quick redial from your call log.

  • View all recent calls (incoming, outgoing, missed)

Receiving Calls on Mobile

Zoom Phone calls work even when the app is closed.

Call Notifications

When App is Open:

  • Full-screen call notification appears

  • See caller name/number

  • Access all response options

When App is Closed:

  • Lock screen notification appears

  • Ringtone plays

  • Accept or decline from lock screen

  • Works like a native phone call (if CallKit enabled on iOS)

Answering Calls

When a call comes in, you'll see these options:

Accept

  • Tap Accept or swipe to answer

  • Call connects immediately

Decline

  • Tap Decline

  • Sends caller to voicemail (based on your settings)

Decline with Message (SMS)

  • Tap Decline with Message

  • Select a pre-written text response

  • Message sent to caller while routing to voicemail

  • Only works for mobile callers (not desk phones)

Ignore

  • Tap Ignore (Android) or dismiss notification

  • Stops ringing on your device

  • Call continues on other devices

  • Useful for shared lines where someone else can answer

Pro Tip: If you have CallKit enabled (iOS), Zoom calls integrate with your phone's native call interface, appearing in your recent calls list.


Mobile In-Call Controls

  • Mute/Unmute: Tap microphone icon

  • Keypad: Access dial pad for phone menus

Using SMS on Mobile

Send and receive text messages using your business number.

Sending an SMS

Open SMS Tab

  • In Phone tab, tap SMS

  • View existing conversations

Start New Message

  • Tap the pencil/compose icon

  • Enter recipient phone number at the top

Type and Send

  • Type your message in the text field

  • Tap send button

  • Message sends from your business number

Reading SMS

  • Unread messages show badge count

  • Tap a conversation to view full thread

  • Messages sync across all devices (desktop, mobile, web)


Managing Voicemail on Mobile

Access and manage voicemail messages from anywhere.

Checking Voicemail

  • In Phone tab, tap Voicemail

  • See list of all messages

  • Tap the play button on any message

  • Voicemail transcription appears automatically

Call Forwarding on Mobile

Temporarily redirect calls while on the go.

Setting Up Quick Call Forwarding

Access Call Forwarding

  • Tap your profile picture (top left or right)

  • Tap Forward Calls

Choose Forwarding Destination

  • Name or Number: Forward to a colleague or external number

  • Voicemail/Videomail: Send all calls directly to voicemail

Set Time Limit

  • Choose duration (30 min, 1 hour, 2 hours, etc.)

  • Or select "Until I turn it off"

Enable Forwarding

  • Tap to activate

  • Confirmation appears at top of screen

Disable When Ready

  • Tap Turn Off in the persistent reminder banner

  • Calls resume ringing normally

Default Behavior: "Play my voicemail greeting" is enabled by default. If the forwarded person doesn't answer, the call returns to YOUR voicemail, not theirs.


Switching Between Wi-Fi and Cellular

Adapt to connectivity changes on the fly.

Using Wi-Fi (Default)

  • Zoom Phone uses Wi-Fi by default

  • Best call quality and no cellular minutes used

  • Recommended whenever available

Switching to Cellular Mid-Call

If Wi-Fi becomes unstable during a call:

Access Switch Option

  • During the call, look for Switch to Cellular option

  • Confirm your mobile phone number

Tap Switch

  • Call transitions to cellular network

  • Uses your carrier's voice minutes

  • Call continues without dropping

Limitations on Cellular

  • You lose Zoom Phone features (transfer, hold, park, etc.)

  • Treated as regular phone call

  • Switch back to Wi-Fi when possible for full features

⚠️ Common Issues

"I'm not receiving incoming calls" → Verify notifications are enabled in both Zoom settings AND device settings. Sign out and back in. Ensure Background App Refresh is on (iOS).

"Phone tab isn't showing" → Your Zoom Phone license may not be activated. Contact your admin. Also try signing out completely and signing back in.

"Call quality is poor on cellular" → Switch to Wi-Fi when possible. On cellular, ensure you have strong signal (3+ bars). Close other apps using data in the background.

"Voicemail transcriptions aren't appearing" → Transcriptions take 30-60 seconds to generate. If still missing after a few minutes, contact your admin to verify transcription is enabled.

"Battery drains quickly" → Zoom can use significant battery when constantly connected. Enable battery optimization in device settings, or use Wi-Fi instead of cellular data.

"Can't switch to cellular during call" → This feature requires your mobile carrier number to be configured. Contact your admin to link your mobile number to your Zoom Phone account.
