  • Phone numbers you want to add (in E.164 format for manual entry)


Understanding Your Contact Types

Zoom Phone provides access to multiple contact sources:

Internal Contacts Your Zoom contacts directory automatically contains users on the same Zoom account and organization . These colleagues appear automaticallyβ€”no setup needed.

Personal Contacts Store personal contacts including names, email addresses, phone numbers, and more in Zoom . These are contacts you manually add or import.

Synced Contacts If enabled by your admin, contacts from Google, Outlook, or other services sync automatically to Zoom Phone.

Starred Contacts Quick-access favorites you use most frequently appear in a dedicated "Starred" section.


Adding Contacts Manually

Desktop App

Open Contacts Tab

  • Launch Zoom desktop app

  • Click Contacts in the left sidebar

Add New Contact

  • Click the + icon or Add Contact button

  • Enter contact information:

    • Name (required)

    • Phone number

    • Email address

    • Company name

Save Contact

  • Click Save

  • Contact appears in your personal contacts list

Mobile App

  • Open Zoom mobile app

  • Tap Contacts at the bottom

Add Contact

  • Tap the + icon in the top-right

  • Enter contact details

Access Personal Contacts

  • Sign in to zoom.us

  • Click Personal Contacts in the navigation menu

Add Individual Contact

  • Click Add Contact

  • Enter the contact's name and contact details (phone number must be in E.164 format)

  • Click Save


Organizing Your Contacts

Starring Important Contacts

Starring a contact adds them to the Starred section, providing quick access .

Desktop:

  • Search for or find the contact

  • Click the star icon next to their name

  • Contact appears in Starred section under Phone, Team Chat, and Contacts tabs

Mobile:

  • Tap the contact's name

  • Tap the star icon in the top-right

  • Contact appears in Starred section

Quick dialing:

  • Starred contacts appear at the top of your contacts list

  • Access them instantly from the Phone tab

Adding Contacts from Call History

View Call History

  • Go to Phone tab > History

  • Find the caller you want to save

Add to Contacts

  • Click/tap on the caller's number

  • Select Add to Contacts

  • Enter additional details if needed

  • Save


Editing and Deleting Contacts

Edit a Contact

Desktop:

  • Find the contact in your Contacts tab

  • Hover over the contact name

  • Click the ellipsis (β€’β€’β€’) icon

  • Select Edit Contact

  • Make changes and click Save

Web Portal:

  • Navigate to Personal Contacts

  • Click Edit to the right of the contact you want to update

  • Make necessary changes

  • Click Save

Delete a Contact

Deleting a contact prevents them from continuing to chat with you, but unless blocked, they can request to be a contact again .

Desktop:

  • Hover over the contact name

  • Click the ellipsis (β€’β€’β€’) icon

  • Select Delete Contact

  • Confirm deletion

Mobile:

  • Tap the contact

  • Tap the ellipsis (β€’β€’β€’) in the top-right

  • Tap Delete Contact

  • Confirm deletion


Calling from Contacts

Once contacts are saved, calling is simple:

Find the Contact

  • Search by name or browse your list

  • Check starred contacts for frequently called numbers

Initiate Call

  • Desktop: Click the phone icon next to the contact

  • Mobile: Tap the contact, then tap the phone icon

  • Call connects through Zoom Phone

Contact not appearing after adding? β†’ Refresh the app or switch tabs. Check that the contact was saved successfully in the web portal.

Can't call a contact even though they're saved? β†’ Verify the phone number format is correct (E.164 format with country code). Try editing the contact and re-entering the number.

Duplicate contacts showing up? β†’ This happens when contacts exist in multiple sources (personal + synced). Delete the duplicate from your personal contacts.

CSV import failed? β†’ Check that all phone numbers include the + sign, country code, and are in E.164 format. Remove any special characters from names.

Contact information not syncing across devices? β†’ Ensure you're signed into the same Zoom account on all devices and have an internet connection.
